Quotes with online customer approval

Sending a quote as a PDF attachment, then calling to ask whether they've looked at it, then getting approval in a separate email — and afterwards you retype the work order by hand anyway.

Build the quote from the same material lines as your work order, send it in one click, and the customer approves on a simple page — no account needed. As soon as they approve, the draft work order is already waiting with all the lines on it.

What it does

  • Status flow: CONCEPT (draft) → VERZONDEN (sent) → GEACCEPTEERD (accepted) or GEWEIGERD (declined), with VERLOPEN (expired) after the chosen validity date.
  • Lines with a catalogue article or free text, quantity × price × VAT — the same calculation logic as the work-order lines.
  • The send button generates a unique, hard-to-guess link (no account, no password) and emails it to the customer.
  • On that link the customer sees the lines + totals and explicitly chooses Approve or Decline — declining is exactly as easy as accepting, with an optional reason.
  • On approval: a draft work order with the same lines automatically, linked directly to the source quote — nothing to retype.
  • PDF export of the quote, in the same layout as the work-order PDF.

A price quote before a major repair

The installer builds the lines at the office and sends the quote. The customer views it on their phone and approves — the work order is already waiting for the next visit.

The customer wants to compare first

The quote simply stays at VERZONDEN (sent) until the chosen validity date. The customer can still decline at any point; nothing changes in your administration if they do.

Frequently asked questions

Does the customer need to create an account to sign?

No. The link contains a unique access code — no login, no password. The same trust model as the magic links in the customer portal.

What happens if the customer declines?

The quote gets the status GEWEIGERD (declined) with the reason, if given. No work order is created and nothing else changes — you can draw up a new quote if the conversation continues.

Can I still change a quote after sending it?

No — just like a signed-off work order, the content freezes as soon as the status is no longer CONCEPT (draft). Send a new quote if something changes.
