Digital work orders

Quotes with online customer approval
Build the quote from the same material lines as your work order, send it in one click, and the customer approves on a simple page — no account needed. As soon as they approve, the draft work order is already waiting with all the lines on it.

Work planning
Weekly calendar per installer, one click to schedule appointments. Generate a work-order draft from a planning item in a single click.
Maintenance contracts
Attach a contract to an installation or group of installations. Koldwerk automatically generates a work order X days before the due date, emails the customer, and keeps the history.
Customer portal
Give your customer their own login. They see their installations, all signed-off work orders, and download PDFs themselves — and stop calling you for copies.
Logbooks & BRL-100 audit PDF
One button per installation generates a complete BRL-100-compliant audit PDF: customer details, installation specs, all signed work orders, refrigerant history.
Reports & exports
One exports page, four downloads: BRL-100 ZIP package, refrigerant CSV, installation CSV, work-order CSV. With SHA-256 manifest for integrity checking.
Incident registration
Log incidents with category, severity, related customer/installation/work order. A dashboard banner appears for CRITICAL/HIGH incidents until resolved.
CO inspections — Dutch CO safety certification (Bbl) / BRL 6000-25
Start a CO inspection from the installation or the work order, run through the fixed checklist, and record CO readings + outcome. Koldwerk blocks the inspection if the selected installer has no valid CO-person certificate.
Compliance Autopilot
One overview of everything that needs attention within 90 days, sorted by urgency. Every item links back to its source record, plus a weekly email summary whenever something falls due within 30 days.
Tool management & calibration
Per tool: calibration history, certificate PDF upload, automatic status (valid/expiring-in-30/expired). Expired tools cannot be issued.
Issue & return
Issue cylinders and tools to an installer. Per item: status open / returned / missing / defective. Cylinder status is tracked automatically (full/partial/empty).
Compliance forms — custom checklists

Debitan accounting sync
One click on a signed-off work order → invoice lines are created in Debitan, with the correct VAT rate and ledger account.
Accounting integrations
Send a signed-off work order to your accounting package as a draft invoice in one click — Moneybird, SnelStart, Exact or Twinfield. Push only, nothing is pulled back.
Peppol e-invoicing
Send a signed-off work order directly as a Peppol invoice to your customer's network address (via Storecove) — no accounting package needed.
Certificates (company & installer)
One place for both company certificates (like BRL 100 F-gases) and installer certificates (BRL 200, VCA, CO-person). Koldwerk blocks sign-off without a valid BRL 200.
Users & roles (RBAC)
Four built-in roles: OWNER, ADMIN, INSTALLER, CUSTOMER. Each role gets different routes and data access. Strict multi-tenant isolation — nobody ever sees another workspace's data.
LMRA — Last Minute Risk Analysis
Mobile-first LMRA on your installer's phone — required before the work order can start. On a CRITICAL "no" the app blocks the work and sends an approval request to the supervisor. GPS location, audit trail, works without signal — all in 90 seconds, all retrievable for 7 years.
